The question I appreciate most from new clients is also the most direct one: what exactly am I paying for?
It is a fair question. And if you have grown up thinking of travel agents as free because they earn commissions from the resorts they book, the concept of a planning fee can feel unexpected. Let me explain it honestly.
Why Some Advisors Charge a Fee
The travel industry has changed significantly over the past decade. Online booking platforms made it easy for people to arrange their own trips, which put pressure on advisors to offer something genuinely different to justify the relationship. The advisors who have invested most seriously in their knowledge, their supplier relationships, and their service have increasingly moved toward a fee structure that reflects the actual value of what they provide.
An advisor who charges a planning fee has made a deliberate business decision: they want to be compensated for their time and expertise, not just for the transaction. That changes the dynamic in a way that matters for you.
An advisor working purely on commission has a financial incentive to book. Full stop. An advisor with a planning fee has a financial incentive to serve you well. Their business depends on referrals and repeat clients, which only happen when the trip delivers.
What the Fee Covers
Every advisor structures their fee differently, but here is what mine covers for my clients.
The process starts with a real conversation, not a quick form. Before I recommend anything, I spend meaningful time understanding what you actually want from this trip. Not just the destination and the dates. What does the ideal trip feel like? What has worked before? What has not? What are the things your family genuinely cannot compromise on? What would make you come home saying it was everything you hoped for?
That conversation, done well, takes time and shapes everything that comes after. It is the difference between a recommendation that fits your family and a list of popular options that might or might not be right for you.
From there, I do the research. Real, expert-level research, drawing on years of destination knowledge, supplier relationships, and direct feedback from clients who have been to these properties. You are not getting a list of ten resorts to compare. You are getting a specific recommendation with the reasoning behind it, plus two alternatives if you want to see other options.
After we settle on the direction, I build the itinerary. The right property, the right room category, private transportation that makes sense for your arrival time, excursions worth your time, dining reservations if needed, any special arrangements for the trip. Then I handle ALL the actual booking, confirm every detail, and track every confirmation number so you do not have to maintain a spreadsheet of your own.
Before you leave, I send you a detailed pre-departure document: everything you need to travel with confidence, including destination-specific tips, what to pack, what to expect, emergency contacts, and how to reach me. A week before travel I do a check-in. The day before departure I reach out. And during the trip, I am reachable.
If something comes up while you are traveling, whether a flight change, a room that needs attention, or an excursion that needs adjusting, I handle it. You are not calling an 800 number and waiting on hold from a hotel lobby. You have my number.
After you return home, I follow up. I want to know how everything went. What was perfect, what surprised you, what could have been better. That feedback makes every future trip better.
What the Fee Does Not Cover
The planning fee covers my time and service. It is separate from the actual cost of your trip: the resort, the flights, the excursions. Those are invoiced directly by the suppliers. The fee is for the expertise and the care that makes the trip what it should be.
Whether a Fee Is Worth It
Think about it this way. If you are booking a quick weekend trip somewhere familiar, a planning fee probably does not make sense.
But if you are planning a vacation that costs seven to fifteen thousand dollars, one you have been saving for, one your family has been looking forward to — the planning fee is a very small fraction of the total investment. What it buys you is a meaningful improvement in the probability that the trip delivers. It buys you someone who has done this hundreds of times and knows what makes these trips work. It buys you someone reachable from the moment you reach out to the day you walk back through your front door.
One client described it to me this way: "Easy, flexible, less stress on me. One stop shop literally. You handle everything and my worries. You're on top of the ball at all times working in the background to make sure everything goes right."
That is what the fee covers.
